The Organisation:

Pacific Adventist University (PAU) is owned and operated by the South Pacific Division of the Seventh-day Adventist Church. The institution is accredited to the Adventist Accreditation Association, an international denominational authority for all tertiary and graduate educational programs and institutions owned by the Seventh-day Adventist Church entities. The main campus is located on the pristine Koiari Park, 14 miles outside Port Moresby, the capital of Papua New Guinea. The institution was established in 1984. Since then, it has grown from a college of 20 students, to a university of over 1000 students from across the Pacific.

The Role:

Reporting to the Dean of the School of Humanities, Education & Theology, The Office Manager is responsible for overseeing and coordinating all administrative and operational activities that support the effective functioning of the School of Humanities, Education & Theology (SOHET). This role ensures that the School’s office runs efficiently and professionally, including managing records, supporting academic staff and students, coordinating communication, and maintaining facilities and supplies. The Office Manager plays a key role in enabling the School to achieve its academic and strategic objectives in alignment with the Christian values of Pacific Adventist University. The Service is required to perform the following ‘Core Responsibilities’ as listed below.

Core Responsibilities:

  • Oversee daily office operations and procedures to ensure efficiency and professionalism.
  • Maintain school correspondence, records, supplies, equipment, and facilities.
  • Manage the office calendar and coordinate staff travel and meeting logistics.
  • Supervise work-line students and ensure the office environment remains clean and orderly.
  • Provide administrative and financial process support to the Dean and Assistant Dean.
  • Serve as the first point of contact for telephone, email, and in-person enquiries.
  • Coordinate communications and manage relationships with students, staff, and external stakeholders.
  • Schedule meeting rooms and support teleconference arrangements.
  • Maintain confidential and academic records in both digital and physical formats.
  • Update and manage contact databases, including key government and education stakeholders.
  • Support the school’s database management system
  • Assist with long document formatting, reports, and confidential correspondence.
  • Prepare agendas, take formal minutes, and ensure follow-up on actions from School meetings.
  • Provide administrative support to other team members and special events.
  • Support the coordination of academic seminars, workshops, and student practicum placements.
  • Carry out additional administrative duties as assigned by the Dean.

About you:

Qualifications and Skills required:

  • Diploma or Bachelor's degree in Business Administration, Office Management, Education, or related field
  • Minimum of 3 years’ experience in administrative or office management roles.
  • Proficient in Microsoft Office (Word, Excel, Outlook, Publisher, Access).
  • Experience working with diverse teams in an office or academic environment.
  • Prior experience in a higher education setting
  • Excellent organizational and time management skills.
  • Strong interpersonal and communication abilities, including professional customer service.
  • Ability to prioritize tasks, manage multiple deadlines, and maintain confidentiality.
  • Adaptability in cross-cultural and team-oriented environments.
