The Payroll Clerk is responsible for assisting with payroll processing, maintaining employee payroll records, and ensuring that all payroll-related activities are compliant with federal, state, and local regulations. The ideal candidate should have excellent attention to detail, strong organizational skills, and a commitment to maintaining strict confidentiality.
Duties and Responsibilities
Assist with the processing of payroll for all employees, including data entry, verification, and calculations of hours, wages, deductions, and taxes.
Ensure accuracy and compliance of payroll records by following company policies, procedures, and applicable laws and regulations.
Review and verify employee time and attendance records, addressing discrepancies and issues promptly.
Maintain and update employee records, including new hires, terminations, pay rate changes, and other payroll-related information.
Respond to employee inquiries and requests regarding payroll matters in a timely and professional manner.
Prepare and distribute payroll-related reports and documents, such as pay slips, forms, and tax filings.
Collaborate with HR and Finance departments to ensure proper payroll accounting and coordination of benefits administration.
Assist with periodic payroll audits, identifying and resolving any discrepancies or issues.
Stay current on payroll-related legislation, regulations, and best practices, ensuring compliance and continuous improvement.
Perform other related duties as assigned by the Payroll Manager.
Job Requirements
Grade 10 and 12 or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or a related field is preferred.
A minimum of 1-2 years of experience in payroll processing or a related field.
Knowledge of federal, state, and local payroll regulations, including tax and wage laws.
Proficiency in Microsoft Office Suite, particularly Excel, and experience with payroll software systems.
Strong attention to detail, organizational skills, and multitasking ability.
Excellent communication and interpersonal skills, with the ability to work effectively in a team environment.
High level of integrity, confidentiality, and professionalism.
Ability to work independently, manage deadlines, and prioritize tasks.
Experience with any payroll software or ERP is a plus.
