Procurement Coordinator

We are seeking an experienced and driven Procurement Coordinator with construction experience to lead complex procurement activities for our Company. In this pivotal role, you will be the key point of contact for all Procurement related activities, ensuring all materials purchased meet technical specifications, financial targets, and regulatory requirements. Your leadership will be critical in guiding the Procurement team from the initial planning stages through to final handover of projects.

Role Overview

As Procurement Coordinator, you will execute end-to-end procurement activities in accordance with our company policies, regulatory requirements, and timely, cost-effective, and compliant acquisition of goods and services to support operational and project requirements. You will serve as the primary liaison between internal departments, approved vendors, and the Finance department.

Reporting to: Group HR & Administration Manager

Key Responsibilities & Duties

  • Coordinate procurement operations with vendors and stakeholders.
  • Process purchase requisitions and issued purchase orders in a timely and accurate manner.
  • Obtain and evaluate quotations from approved suppliers to ensure competitive pricing, quality, and delivery terms.
  • Draft sourcing schedules based on project plans.
  • Gather data on vendor performance to propose improvements.
  • Gather feedback on the effectiveness and efficiency of current sourcing strategies.
  • Highlight sourcing issues for management’s action.
  • Maintain procurement database and records.
  • Ensure all procurement activities adhere to the Company’s internal Procurement Policy, ethical standards, and regulatory requirements.
  • Maintain and update vendor database, ensuring all compliance documentation is current and valid.
  • Manage vendors’ conformance to delivery schedules and product specifications.
  • Track vendor performance metrics and report on delivery reliability, quality, and responsiveness.
  • Address supplier inquiries and manage routine communications regarding orders, invoices, and delivery matters.
  • Assist in budget tracking and cost control initiatives within the procurement function.
  • Provide Weekly and Montly Reports
  • Other duties in line with the role as required by Management.

Qualifications & Requirements

  • Bachelor’s degree in business administration, commerce, or a related discipline.
  • Minimum of 2 years experience as a Procurement Coordinator in the construction industry.
  • Minimum of 5 years experience in Procurement/Supply Chain in the construction industry
  • Proficient in MS Office Suite, specifically Excel, Word and Outlook. Experience with and ERP system would be an advantage.
  • Demonstrated understanding of procurement principles, purchasing processes, and vendor management.
