The Senior Liaison Officer is responsible for ensuring smooth coordination between the Design Department and external regulatory bodies, while also providing administrative and scheduling support to the Design Manager. The role involves managing development submissions, tracking approvals, and maintaining clear documentation for all communication and reports related to planning and design processes.
Duties and Responsibilities
A. Liaison and Regulatory Coordination
Act as the main contact point between the Design Department and authorities (e.g., NCDC, CEPA, Building Boards).
Manage all external submissions, including rezoning, EIS, site clearance, subdivision, and building permits.
Attend meetings with authorities and represent the Design Manager for follow-ups and negotiations.
Coordinate submission packages with drafting, technical, and planning teams.
Monitor timelines and keep internal teams informed on approval statuses.
Maintain a tracker for project approvals and compliance documentation.
Support and guide Junior Liaison Officers on regulatory submission processes.
B. Administrative Support to the Design Manager
Manage the Design Manager’s schedule and coordinate internal and external meetings.
Prepare agendas, take minutes, and follow up on action items for departmental meetings.
Draft correspondence, reports, and departmental communications.
Organize and maintain accurate records and project documentation.
Assist in preparing KPIs, timelines, and internal tracking documents for the Design Department.
Coordinate inter-department communication and follow-up on deliverables.
C. Communication & Reporting
Keep an updated log of all correspondence with external agencies.
Generate monthly and quarterly reports on submissions and liaison activities.
Draft briefing notes and regulatory updates for senior management.
Assist with project presentations and stakeholder workshops as required.
Job Requirements
Diploma or Bachelor's degree in Architecture, Planning, Engineering, Business Administration, or a related field. Unitech or Polytech graduates preferred.
3–5 years of experience in a liaison, regulatory, or project coordination role.
Familiar with PNG regulatory authorities and submission processes.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
Excellent communication, coordination, and organizational skills.
Ability to manage confidential information with discretion and professionalism.
