Summary
The Executive Assistant (EA) to the Manager will provide comprehensive administrative and executive support to the Director/ Manager. They will play a key role in managing the Executive Director's schedule, coordinating meetings and events,handling communication, and ensuring smooth operations within the office. The EA will act as a trusted partner, maintaining confidentiality, and demonstrating professionalism in all interactions.
Duties and Responsibilities
- Manage the Executive Director's schedule, including prioritizing appointments, meetings, and travel arrangements.
- Coordinate and schedule meetings, both internally and externally, ensuring all necessary materials and resources are prepared.
- Prepare and edit correspondence, reports, presentations, and other documents as required by the Executive Director.
- Handle incoming and outgoing communications on behalf of the Executive Director, including phone calls, emails, and mail.
- Maintain an organized filing system for documents, ensuring easy retrieval and confidentiality.
- Conduct research, compile data, and prepare reports or presentations for the Executive Director's review and use.
- Assist in the preparation of board materials, meeting agendas, and minutes as requested.
- Manage and maintain confidential and sensitive information with the utmost discretion.
- Liaise with internal staff, external partners, and stakeholders on behalf of the Executive Director, maintaining professional and positive relationships.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and itineraries.
- Track and process expense reports, ensuring accuracy and adherence to organizational policies.
- Anticipate needs and proactively address issues to support the efficiency and effectiveness of the Executive Director.
- Collaborate with other administrative staff to ensure seamless operations and effective communication within the organization.
- Assist with special projects and initiatives as assigned by the Executive Director.
- Stay updated on organizational activities, projects, and priorities to provide accurate and timely information to the Executive Director.
Job Requirements
- Bachelor's degree in Business Administration, Communication, or a related field preferred.
- Proven experience as an Executive Assistant or similar role supporting high-level executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills, with the ability to draft professional and accurate correspondence.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- High level of discretion and confidentiality in handling sensitive information.
- Strong attention to detail and accuracy in all aspects of work.
- Ability to work independently and proactively, anticipating needs and taking initiative.
- Professional and polished demeanor, with excellent interpersonal skills.
- Flexibility to adapt to changing priorities and work under pressure.
- Super fast typing speed with exceptional accuracy.
- Tech-savvy with a strong aptitude for learning new software and technology tools.
- Knowledge of office management systems and procedures.
