We are currently looking for suitable, qualified, experienced, and highly motivated professional to fill the role of Administration & Logistics Coordinator to be based in Mt. Hagen, Western Highlands Province and Kimbe, West New Britain Province, Papua New Guinea.
PURPOSE OF THE POSITION
To manage and coordinate the administration department staff in providing efficient and effective services to the portfolio and ensuring stewardship and smooth operation of the national and field office .
MAJOR ROLES & RESPONSIBILITIES
- Coordinate with the General Services Manager in implementing W administrative policies and procedures.
- Coordinate with the CPO in providing information for establishing service contracts for WV PNG.
- Coordinate with CPO in enlisting potential office premises or leasing and renewal when required for the portfolio.
- Coordinate with CPO on networking with the service providers and suppliers.
- Coordinate with CPO on the issuance of GRN and tagging of assets.
- Ensure safekeeping and security of assets for the portfolio are properly managed, maintained and tracked.
- Keep records of inventory items for the portfolio that are less than USD 250.
- Coordinate with CPO on disposal of assets for respective portfolio.Conduct regular (quarterly) supervisory visits to provinces for monitoring and provision of technical assistance in management of TB & HIV commodities
- Coordinate with the Portfolio Manager to obtain procurement plans or POA.
- Coordinate with the Portfolio Manager on the timely submissions of purchase requests based on the procurement plans or POA.
- Facilitate airline bookings requests for the portfolio team at the NO and submit documentation to CPO –admin officer to issue PO.
- Coordinate with other PSSM or PSSC to facilitate accommodation requests for staff visiting their respective AP.
- Facilitate all purchase requests for the portfolio.
- Coordinate with the PSSM or PSSC on purchase requests from the AP that require facilitation from the NO (non availability of supplier, technical procurement).
- Seek guidance from the GSSM on technical procurement related matters.
- Ensure proper approval levels are sought for approval of purchase requests (appropriate LOA).
- Ensure proper reconciliation of documents (invoices) is attached and timely submission to finance for payment.
- Ensure timely updating of the procurement tracker from end to end (PR-canvassing-selection of winning vendor-PO-invoice-delivery docket-GRN-invoice to finance).
- Ensure timely submission of monthly reports to the GSM.
- Facilitate other adhoc or required requests that are portfolio specific.
EDUCATIONAL QUALIFICATION/SKILLS, KNOWLEDGE & EXPERIENCE
- Bachelor’s Degree in Business Administration
- Minimum of 3 years of managerial experience in administration field
- Knowledge of Pacific Regions Vendor and service provider market
- Understand administrative issues
- Ability to analysis problems and take next course of action.
- Has management, administration, organizational, interpersonal and facilitation skills
- Good communication skills in written and spoken English
- Demonstration of Networking and collaboration skill
- Competent in the use of Microsoft Office (Word, Excel and PowerPoint)
- Proven experience as a team player
- List additional work experience preferred for this position.
- The position might require traveling to other Area programs
- Be available to work on weekends and on short notice.
