About the RoleWe are seeking an experienced
Administration Officer – Security, to support the Security Department based in Port Moresby, reporting to the country Security Manager. This position involves providing administrative support to the security operations, which includes preparing, organising, and storing both paper and digital records. The role also includes compiling and updating reports for both internal and external purposes, scheduling and assigning administrative projects, and ensuring the efficient completion of operational tasks.
Key Responsibilities - Provide comprehensive administrative and operational support to the Security Department, including document management, data entry, reporting, and follow-up.
- Oversee Security Management folders within the company’s share point.
- Administer the Persons-On-Board (POB) System, including data collection, entry, daily monitoring and updates.
- Overseeing the internal Security Diligence Planner (SDP) and Security Vulnerability Tracker (SVT).
- Coordinate meetings security briefings, and training sessions; prepare agendas, presentations, and accurate meeting minutes.
- Conduct monthly review ands and inspections of assets
- Managing and tracking the police personnel annual Fit-to-Work (FTW) medical appointments and certificates.
- Coordinate travel, accommodation, training sessions, and catering services for the Security team. Monitoring the manager’s calendar and scheduling appointments.
- Managing the access control system including badge creation and platform oversight.
Requirements of the Role - Tertiary qualification in administration, management or related filed
- Minimum of 5 years Administration experience with multi-facet teams preferably in the resource or industrial sector
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent organisational skills with the ability to manage multiple tasks and deadlines
- Ability to work independently with minimal supervision
- Excellent verbal and written communication skills
- Strong influencing and negotiation skills with the ability to develop and maintain constructive relationships with management, team members, and other external agencies.
