JOB INTRODUCTION

The Administration Officer Training plays a key role in the coordination of the induction and orientation and onboarding of the new hires for the company’s Man Guarding Security Services. The company’s strong vetting and screening process requires consistency and focused attention to detail and effective coordination of activities which are part of the whole hire process.

JOB PURPOSE

The Administration Officer Training prepares documents and supervises candidates who have been screened to sit a basic entry Test. He/she participates and assists in the marking of the test and publishes the test results. He/she compiles documentation and manages accurate records on all candidates who have successfully passed basic entry requirements for the Pre Employment Security Officer Course (PESOC).

Administration Officer Training is also responsible for the maintenance of all Training Department files and records pertaining to all Training Programs, participant Training records for internal and external clients and stakeholders.

RESPONSIBILITIES AND DUTIES

  • Maintain an accurate and updated record of the Training Programs as approved and budgets for the Training Year Calendar
  • Coordinate with HR for the
  • Maintain an accurate record of all Certificates issued for all course and program participants
  • Initiate internal Administration paperwork for all required for the Unit include quotes for stationary supplies, internal requisition orders for purchase of item and other equipment required
  • In collaboration with the HR team compile employment documents for Trainees and New Hires
  • Assist in coordinating the booking of classrooms
  • Ensure the maintenance and general upkeep of fo the Training rooms and facilities

REQUIREMENTS

Experience and Qualification;

  • Competent Administrative Assistant or Executive Assistant
  • Minimum of 3 years experience in a similar position
  • Able to use the computer including all common office management tools ( Microsoft Office Google for work especially Spreadsheets, google mail and calendars);
  • Experience in general administration;
  • Must understand basic work processes
  • Relevant qualifications from a recognised education and training institution
  • Experience or exposure to good Customer Service practices

Skills and Capabilities;

  • Good command of English language
  • Able to communicate clearly and effectively
  • Organised person who utilises task planners
  • Well presented
  • Able to work with minimum supervision
  • Able to work as part of a team;
  • Able to coordinate task, appointments and activities
  • Able to meet deadlines and follow tasks to completion
  • Open and willing to learn new things
  • Responsible for their self improvement

  • Be physically and mentally healthy
  • Mature, confident, stable and of sober habits
  • Proven to be reliable and of good conduct
  • Be able and willing to work extra hours as and when required
