Administrative Assistant - Driver

Job Summary:

The incumbent of this position is responsible for providing driving service to officers of FHI 360 CO to assist them fulfil or accomplish their activities and programs and perform other administrative duties assigned by the supervisor.

Responsibilities:

  • Drive staff to meetings, appointments, field visits and other designated places.
  • Responsible for good maintenance, registration and safety of the program vehicle as well as keeping it clean and in good running condition at all times.
  • Keeps record of the vehicle log book/calendar and report to the supervisor on a weekly basis
  • Always abide by the traffic rule when driving
  • Report any vehicle damage and/or traffic accidents immediately to supervisor, FAM and Country Director
  • Collect staff request for purchasing of office stationery
  • Run office errands such as, message delivery and pickups.
  • Perform other relevant duties as assigned
  • Keep track of registration and safety stickers of vehicle
  • Keep track of maintenance of vehicle
  • Maintain and track monthly fuel monitoring reports
  • Assist Admin in workstation dismantling and assembling where and when required.
  • Assist in photocopying, scanning, printing and typing if required.
  • Open, sort and distribute incoming correspondence
  • Responsible for cleaning all Areas (interior as exterior) of FHI Country office.
  • Assist the office helpers in moving items, removing cobwebs and cleaning walls, as and when needed
  • Assist admin officer clean/replace all light tubes and bulbs or any other fittings and furniture fixed in the office
  • Any other tasks requested by the supervisor, FAM, Deputy Country Director, and Country Director

Knowledge, Skills and Abilities:

  • Good and safe driving skills
  • Able to make good judgement and deal pleasantly with people
  • Must have a sober habit, neat and tidy
  • Good English communication skills
  • Able to take initiative

Minimum Requirements:

  • Have safe driving skills and experience
  • Completed at least grade 12
  • Have current class 6 driver’s license
  • Have a recent police & Medical Clearance
