Position: Assistant Coordinator

Location: Port Moresby, Papua New Guinea

Employment Type: Full-time

Overview: TE (PNG) Ltd is seeking an Assistant Service Coordinator to join our team. The successful candidate will be assisting the Service Coordinator as required to complete the duties of the Service Coordinators and Manager as requested. He/she will help to ensure the smooth operation and function of the Service Coordinators Desk including administrative support and when required, completion of the tasks and duties of the Service Coordinators.

Key Responsibilities:

The Responsibilities of the Assistant Service Coordinator are as follows but not limited to:

  1. Answer Phone Calls: Answer all calls to the service desk from clients and other staff, answer enquiries where possible and otherwise pass onto the relevant Service Coordinator.
  2. Walk in and Collections: Be the primary person to respond to walk in customers and support part or equipment collections.
  3. Service Desk: Support the Service Coordinators to act as the workshop “help desk” as required by the Service Coordinators or Manager.
  4. Job Administration and Documentation Creation: Support the Service Coordinators with opening jobs and completing pre task administration.
    • Create jobs in the CRM as advised by Service Coordinators
    • Enter Jobs on job tracker – allocate status
    • Create Job Folders for Coordinators – complete job checklists
    • Create Job Folder for Technicians and distribute to staff
  5. Job Closure: Assist the Service Coordinators in closing jobs as requested
    • Make time daily to complete job closure
    • Complete all steps as required by the Service Coordinators Checklists
    • Assist in completing invoicing as requested
    • Monitor the technicians’ completed tasks and move documents into the applicable locations
    • Monitor and update the job tracker when closed
  6. Quotes: Assist in completion of smaller quotes or as directed by Peter / Kaian
  7. Daily Technician Allocation: Assist Service Coordinators with the completion of daily technician allocation.
  8. Workshop Vehicle Usage and Coordination: assist in organising and monitoring vehicle movements as requested by the Service Coordinators or Managers

What we are looking for in the Candidate:

  • Strong coordination and time management skills to handle multiple tasks efficiently.
  • Competence in Microsoft Office - Word, Excel, PowerPoint, etc
  • Excellent communication and teamwork abilities.
  • Attention to detail and able to liaise effectively with management, technicians, and other departments.
  • Demonstrated initiative and ability to work with minimal supervision.
  • Must have some prior experience in customer service and operations scheduling/management.
