The Opportunity

The Assistant Reservations Manager supports the day-to-day operation of the reservations function across Holiday Inn Express Port Moresby and Holiday Inn & Suites Port Moresby. This role works closely with the Cluster Reservations Manager and is a key support role within the Commercial Team, helping to drive rooms revenue through strong enquiry handling, conversion, reconversion follow-up, rate integrity, and accurate booking administration. The role supports both Transient and Group business, ensuring all reservations processes are delivered consistently, professionally, and in line with IHG brand standards and property commercial priorities.

What You’ll Do

  • Support the Reservations Manager in managing daily reservations workflow and priorities across both hotels.
  • Ensure reservations enquiries are handled promptly, accurately and professionally across all channels.
  • Assist with team coverage planning and ensure consistent service levels are maintained.
  • Provide guidance and support to Reservations Agents to ensure standards and procedures are followed.
  • Support conversion of transient and group enquiries through accurate quoting and strong follow-up.
  • Assist with reconversion activity (lost business recovery) by contacting clients and following up on declined enquiries.
  • Ensure response times meet agreed standards and all enquiries are actioned within required timeframes.
  • Support the tracking of conversion and reconversion performance.
  • Support group room block setup, updates, and maintenance, including cut-off dates and rooming list requirements.
  • Assist Sales with group quoting and administration, ensuring accuracy and compliance with agreed rates and terms.
  • Monitor group pick-up and report any wash risks or block issues to the Cluster Reservations Manager.
  • Support rate loading accuracy and ensure correct rate application in all reservations.
  • Assist with identifying rate issues, mapping errors, or channel problems and escalate for correction.
  • Support distribution performance by ensuring bookings are correctly segmented and coded.
  • Assist with weekly/monthly reporting including conversion, enquiry response times, group pick-up and booking accuracy.
  • Maintain strong booking data quality, ensuring correct market segmentation and profile information.
  • Support the upkeep of reservations procedures, templates and documentation.
  • Work closely with Front Office to support arrivals, VIP requirements, special requests and rooming list accuracy.
  • Coordinate with Finance for billing requirements, deposits, and payment terms where required.
  • Support collaboration with Sales, Revenue and Conference & Events teams to ensure smooth communication and outcomes.
  • Ensure reservations handling meets IHG standards and supports a positive guest experience.
  • Maintain professional and consistent communication across all channels (email, phone, portals).
  • Support guest issue resolution related to reservations and booking discrepancies.

What we need from you

  • 3–5 years’ experience in hotel reservations (international brand preferred).
  • Proven experience leading a reservations team and driving conversion performance.
  • Strong understanding of transient, group and long-stay booking processes.
  • Experience supporting Revenue Management strategies (MPI, ARI, RevPAR and rate integrity).
  • Strong knowledge of distribution channels (IHG.com, OTAs, GDS, travel agents and corporate negotiated rates).
  • High attention to detail with strong reporting, forecasting and administration skills.
  • Good understanding of Port Moresby market dynamics, including mining and FIFO travel patterns.
