Summary

Maintain positive and professional relationships with property owners, tenants, residents, and other stakeholders, ensuring that enquiries, complaints, service requests, and operational matters are handled promptly and effectively, contributing to customer satisfaction and loyalty.

Duties and Responsibilities

1. Client and Tenant Relations
- Act as the primary contact point for assigned property owners, tenants, residents, and clients.
- Understand clients' concerns, expectations, and service requirements.
- Follow up unresolved customer concerns to ensure appropriate action has been provided.
- Support client retention by ensuring consistent service quality.
2. Maintenance Coordination and Follow Up
- Schedule maintenance and inspections plan for machineries, facilities and equipment to identify potential issues.
- Coordinate maintenance schedule with relevant departments based on urgency and operations impact.
- Confirm access arrangements with tenants before maintenance team or contractors

3. Documentation and Reporting
- Maintain proper records of client correspondence, service requests and periodic reports on
- Customer enquiries, service requests and complaints
- Number of cases resolved and outstanding
- Maintenance activities, cost and performance metrics
- Inspection reports in respects of entry and exits
4. Materials Request and Follow Up
- Identify maintenance requests of any materials, spare parts, equipment or other supplies.
- Coordinate with sales and purchase team to ensure material availability, price, approval and delivery status.
- Track usage and monitor inventory levels regularly.
5. Entry and Exit Inspection
- Perform entry and exit checks of properties with the tenants and relevant departments.
- Identify any damages or defects during inspection check.

6. Contractor Coordination
- Communicate with approved contractors for any assigned maintenance services.
- Track the maintenance activities and update the completion rates or report on any delays or issues.

7. Utility and Service Communication
- Assist in scrutinizing notifications and interruptions in utility supply and property services.
- Collect information on utilities and make notices about pre-planned or unforeseen interruptions.
Job Requirements

- Excellent customer service and communication skills

- Proficient coordination and follow-up skills

- Capacity to handle many maintenance orders at once

- Careful attention to detail

- Good organizational and reporting abilities

- Ability to work in harmony with various departments.

- Professional treatment of complaints and difficult customers

- Ability to separate urgent and regular maintenance issues
