POSITION TERMS OF REFERENCE

POSITION TITLE: Coordinator – eLearning PNG

LOCATION: Port Moresby, FIFO to field sites as required

DURATION: Fixed Term – 12 months

TYPE: Full-time

REMUNERATION: Competitive Remuneration

REPORTING TO: Manager – Program AUS - eLearning

ABOUT KTF:

ABOUT THE ROLE:

The Coordinator – eLearning PNG is responsible for coordinating and supporting the delivery of KTF’s eLearning program across selected provinces in PNG. This role plays a vital part in ensuring smooth operations and logistics for the program, as well as supporting the implementation of professional development, coaching, and digital learning initiatives for rural and remote teachers.

Working closely with the in-country eLearning coaches, field-based education teams, and the Australian Program Manager, the Coordinator helps ensure effective planning, communication, data tracking, and compliance with safeguarding and project management standards.

RESPONSIBILITIES:

  1. Project Coordination & Implementation
  • Coordinate delivery of teaching and learning materials, resources, and equipment to schools and coaches.
  • Support the preparation and distribution of eLearning workshop content and teacher development materials.
  • Coordinate logistics for field operations including travel, accommodation, venues, catering, and freight.
  • Support the implementation of the academic calendar, coach rotation schedules, and outreach planning.
  • Monitor and track resource inventory, school data, and staff movements in collaboration with the Program Manager.
  • Maintain close communications with field-based coaches and team members to ensure consistent program delivery.
  1. Administration & Logistics
  • Maintain records of procurement, resource distribution, and transportation.
  • Organise and track bookings for travel, accommodation, and local transport.
  • Provide regular administrative and logistical updates to the Program Manager and field teams.
  • Assist in the planning of annual project activities and support development of streamlined administrative processes.
  1. Human Resources Support
  • Support the Program Manager with tracking staff contracts and leave requests, ensure up-to-date HR filing and renewals.
  • Assist with interview coordination, reference checks, and onboarding processes.
  • Monitor field staff welfare and escalate grievances or issues to the appropriate line manager.
  • Ensure consistent application of KTF policies across the eLearning team.
  1. Monitoring, Evaluation and Reporting
  • Collect and enter field data on school enrolments, workshop attendance, teacher progress, and other metrics.
  • Support quarterly and annual reporting processes for DFAT, ANCP, SDP, and other partners.
  • Assist coaches with drafting monitoring trip reports and updating program records.
  • Use KTF systems (e.g., Monday.com, Google Suite) to maintain records and reporting tools.
  1. Risk, Safeguarding, and Compliance
  • Identify and report on risk areas and incidents, following KTF’s reporting procedures.
  • Promote awareness and understanding of KTF’s safeguarding and zero-tolerance policies in all work.
  • Organise training for coaches and staff on child protection, PSEAH, gender equality, and other cross-cutting policies.
  • Monitor the application of safeguarding practices and escalate concerns as needed.
  1. Relationship Management
  • Foster positive working relationships with in-field staff, schools, partners, and the Australian Program Manager.
  • Support respectful communication and coordination between KTF PNG and KTF Australia teams.
  • Contribute to team meetings, learning and reflection sessions, and planning workshops.

SKILLS & ATTRIBUTES:

Essential:

  • Diploma or degree in education, development studies, logistics, or related field.
  • Minimum 2 years of experience in project coordination, logistics, education, or community development.
  • Strong organisational and administrative skills.
  • Experience coordinating logistics in rural and remote locations.
  • Familiarity with data collection, entry, and reporting processes.
  • Strong communication skills and ability to build rapport across cultures.
  • Proficient in Microsoft Office and Google Suite tools (Docs, Sheets, Gmail, etc.)
  • Understanding of professional boundaries and confidentiality in handling staff and school data.
  • Commitment to upholding KTF’s safeguarding and child protection policies.

Desirable:

  • Experience working with schools or teachers in remote PNG settings.
  • Familiarity with digital learning tools and systems.
  • Basic understanding of Monitoring & Evaluation principles.

This position will require travel domestically from time to time.
