Customer Service Manager

TotalEnergies Marketing PNG is seeking a highly motivated and customer-focused Customer Service Manager to lead customer service operations across our retail and commercial network. This role plays a vital part in enhancing customer satisfaction, improving service delivery, and supporting business growth within a competitive market.

This role reports directly to the VP Sales & Marketing and requires strong management and leadership skills.

Key Responsibilities

Safety & Compliance

  • Uphold TotalEnergies’ HSE standards and promote a safety-first culture.
  • Ensure all customer service activities comply with regulatory and internal requirements.
  • Support management in HSEQ objectives and act as a One Maestro Champion.

Order Management & Logistics

  • Ensure customer orders are processed within 2 hours.
  • Coordinate delivery fulfilment with a 24-hour turnaround target.
  • Work with logistics teams in Port Moresby and Lae to ensure efficient execution.
  • Track and report customer satisfaction and delivery performance.

Administration & Control

  • Prepare accurate quotations, invoices, and delivery documentation.
  • Support credit control, payment follow-up, and customer account coordination.
  • Maintain detailed records and generate periodic sales and performance reports.

Customer Engagement & Marketing

  • Maintain strong relationships with customers and partners across PNG.
  • Resolve service issues proactively and negotiate customer requirements.
  • Conduct customer visits, feedback reviews, and service reporting.
  • Support marketing initiatives, promotions, and competitor analysis.

About You – Qualifications & Experience

Education & Skills

  • Tertiary degree in Business, Marketing, Logistics, or related field.
  • Strong understanding of order-to-delivery processes and customer service operations.
  • Proficiency in Microsoft Office; experience with ERP/CRM is an advantage.
  • Knowledge of HSEQ standards, customer service KPIs, and documentation accuracy.
  • Must have proven management and leadership skills.

Experience

  • Minimum 5 years in customer service, operations, or sales management.
  • Experience in fleet card, fuel, lubricants, FMCG, or similar industries is desirable.

Soft Skills

  • Excellent verbal and written communication skills.
  • Customer-centric, proactive, and solution-oriented mindset.
  • Strong negotiation and influencing skills.
  • Leadership and teamwork capabilities.
  • Attention to detail and ability to thrive in fast-paced environments.

Language

  • English: Fluent
  • Tok Pisin: Conversational (an advantage)
