Summary

The Property Maintenance Coordinator is responsible for scheduling maintenance tasks, writing and closing maintenance orders, and ensuring timely reporting. This role serves as a key liaison between customer service supervisors and technicians (both internal and external), ensuring that work is assigned, tracked, and completed efficiently. Strong organizational and communication skills are required to manage schedules, oversee task completion, and maintain accurate documentation of maintenance activities.

Duties and Responsibilities

  • Plan and schedule maintenance and repair tasks for technicians.
  • Create, track, and close maintenance orders with detailed reports.
  • Ensure all assigned tasks are completed within the required timeframes.
  • Act as the main point of contact between customer service supervisors and technicians.
  • Ensure seamless communication between office staff, technicians, and external service providers.
  • Monitor task progress and address delays or inefficiencies.
  • Generate and submit daily reports on completed and pending maintenance tasks.
  • Maintain an organized record of maintenance orders and their status.
  • Identify recurring maintenance issues and report them for preventive action.
  • Ensure maintenance work follows established company policies and procedures.
  • Verify that completed maintenance orders meet service standards before closing.

Job Requirements

  • Education: Diploma or Degree in Business Administration, Property Management, or a related field preferred.
  • Experience: Minimum of 3 years in an administrative or coordination role, preferably in property management or maintenance.
  • Strong organizational and time management skills to oversee scheduling and reporting.
  • Excellent communication and coordination skills to liaise between departments and technicians.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and maintenance tracking software.
  • Detail-oriented with strong problem-solving skills.
  • Office-based with occasional on-site visits to verify work completion.
  • May require flexible hours to address urgent maintenance needs.
