Position Title: Recruitment Officer

Position Overview
The Recruitment Officer is responsible for managing and executing the end-to-end recruitment
process to attract, select, and onboard top talent for IBSUniversity. This role requires building strong
relationships with hiring managers, developing innovative sourcing strategies, and ensuring a positive
candidate experience to support the university's strategic goals. The officer also manages labor and
immigration processes for expatriates and their dependents.
Key Responsibilities
1. Recruitment Planning and Strategy
- Collaborate with department heads to understand current and future workforce
requirements.
- Develop job descriptions and specifications in consultation with hiring managers.
- Create and implement recruitment plans to attract a diverse pool of qualified
candidates.
- Stay updated on market trends to adjust strategies for hard-to-fill or critical roles.
2. Sourcing and Advertising
- Develop and execute creative sourcing strategies to identify potential candidates
through online job boards, social media platforms, recruitment agencies, and employee referrals.
- Design and post engaging job advertisements to attract quality candidates.
- Build and maintain a talent pipeline for current and future hiring needs.
3. Screening and Selection
- Review applications and shortlist candidates based on qualifications, experience, and
role requirements.
- Conduct initial phone screenings to assess candidate suitability.
- Schedule, coordinate, and participate in interviews with hiring managers and panel
members.
- Administer pre-employment assessments and conduct reference and background
checks.
4. Offer Management and Onboarding
- Prepare and negotiate employment offers in alignment with organizational policies.
- Coordinate the onboarding process for new hires, ensuring all documentation and
orientation requirements are met.
- Liaise with payroll and other departments to ensure a seamless transition for new
employees.
5. Candidate Experience
- Ensure timely communication with candidates throughout the recruitment process.
- Provide constructive feedback to unsuccessful candidates when requested.
- Promote IBS University as an employer of choice by delivering a positive candidate
experience.
6. Reporting and Metric
- Maintain accurate and up-to-date recruitment records.
- Generate reports on recruitment metrics, including time-to-hire, cost-per-hire, and candidate satisfaction.
- Evaluate the effectiveness of recruitment efforts and recommend improvements.
7. Compliance
- Ensure recruitment practices comply with employment laws and university policies.
- Maintain confidentiality of sensitive candidate and organizational information.
8. Labor and Immigration Processes
- Manage expatriate recruitment, including coordination of work permits and visas for
new hires, their dependents, and existing expatriate staff and their dependents.
- Handle renewals of work permits and visas for expatriate staff and dependents in a timely manner.
- Fast-track work permits and visas through networks and other creative solutions to minimize delays.
- Liaise with government authorities and agencies to ensure compliance with labor and immigration regulations.
Key Qualifications and Skills
Education/Qualification
- Bachelor’s degree/Diploma in Human Resources, Business Administration, or a related field.
Experience
- Proven experience in end-to-end recruitment, preferably in higher education or a similar
industry.
- Familiarity with labor and immigration processes for expatriates and their dependents is an
advantage.
