VACANCY NOTICE – Senior Contracts & Project Administrator

The position is full-time with a three-month probation period. Upon successful completion of the probation period the employee will have the opportunity to become a full-time employee.

About the Role:

The Senior Contracts & Project Administrator plays a key role in supporting the successful delivery of engineering and infrastructure projects within the Engineering Division. This position is responsible for overseeing contract administration, project coordination, cost tracking, reporting, and operational support to ensure projects are delivered efficiently and commercially.

The successful candidate will work closely with management, engineers, suppliers, subcontractors, and clients to maintain strong project controls, accurate documentation, and effective communication across all stages of project delivery.

This role is ideal for a proactive and commercially minded professional who is highly organised, detail-oriented, and capable of working in a fast-paced project environment while contributing to continuous improvement within the division.

The responsibilities of the role:

  • Prepare, review, and administer contracts, agreements, purchase orders, and project variations
  • Support tender submissions, quotations, pricing schedules, and scope documentation
  • Monitor project budgets, expenditures, profitability, and reporting
  • Maintain project records, job files, and tracking systems
  • Coordinate invoicing, progress claims, and project reporting requirements
  • Liaise with engineers, suppliers, subcontractors, clients, and management
  • Monitor project timelines and escalate risks or delays when required
  • Support procurement coordination and operational processes
  • Ensure compliance with company procedures and contractual obligations
  • Assist in improving systems, reporting, and operational efficiencies

About Applicant:

Applicants should possess:

  • Degree or Diploma in Business, Engineering, Construction Management, or related field
  • Minimum 3–5 years’ experience in contracts administration, project coordination, or commercial support roles
  • Strong leadership, organisational, and communication skills
  • Strong commercial awareness and attention to detail
  • Ability to work independently and meet strict deadlines
  • Strong analytical and reporting capabilities
  • Proficiency in Microsoft Office applications, particularly Excel
  • Experience within engineering, construction, infrastructure, or project-based environments will be highly regarded

Position description:

Island Enterprises Ltd is seeking an experienced and highly organised Senior Contracts & Project Administrator to support the commercial and operational delivery of engineering and infrastructure projects within our Engineering Division.

This position requires a proactive and commercially minded professional with strong experience in contract administration, project coordination, cost tracking, and stakeholder communication.

The successful candidate will play a critical role in supporting project delivery, maintaining commercial controls, and improving operational efficiency across the division.

Duties and Responsibilities:

1. Prepare, review, and administer contracts, agreements, purchase orders, and project variations.

2. Support tender submissions, quotations, pricing schedules, and scope documentation.

3. Monitor project budgets, expenditures, profitability, and cost reporting.

4. Maintain accurate project records, job files, registers, and tracking systems.

5. Coordinate project documentation, invoicing, progress claims, and reporting requirements.

6. Liaise with project managers, engineers, suppliers, subcontractors, and clients regarding project administration matters.

7. Monitor project timelines, deliverables, and milestones and escalate risks or delays as required.

8. Assist with procurement coordination and supplier follow-up.

9. Ensure compliance with company procedures, contractual obligations, and reporting standards.

10. Identify opportunities to improve systems, reporting processes, and operational efficiencies.

11. Provide administrative and commercial support to management and project teams.

Qualifications & Experience

1. Degree or Diploma in Business, Engineering, Construction Management, or related field.

2. Minimum 3–5 years’ experience in contracts administration, project coordination, commercial support, or related roles.

3. Strong leadership, organisational, and coordination skills.

4. High level of professionalism, integrity, and accountability.

5. Strong commercial awareness and attention to detail.

6. Excellent communication and stakeholder management skills.

7. Ability to work independently and take ownership of responsibilities.

8. Strong problem-solving and decision-making abilities.

9. Ability to work under pressure and meet strict deadlines.

10. Strong analytical, reporting, and administrative skills.

11. Proficiency in Microsoft Office applications, particularly Excel.

12. Experience within engineering, construction, infrastructure, or project-based environments will be highly regarded.
