The Transport Scheduler is responsible for the planning of daily transport jobs, including fleet and driver allocations, leading the day-to-day execution of the transport operations, ensuring service reliability, safety compliance, fleet efficiency, and team performance.
Key Responsibilities
Operational Leadership
Lead daily pre-start briefings and end-of-shift debriefs.
Ensure coordinators execute the daily transport plan and follow SOPs.
Communicate the daily transport plan, oversee timely fleet dispatch, including run sheets and accompanying delivery dockets.
Distribute regular progress reporting.
Plan backloads, resolve delays and disruptions, and communicate any adjustments and additional jobs to the daily transport plan.
People Leadership
Supervise and coach coordinators and drivers.
Oversee rosters, breaks, and attendance.
Address behaviour and performance issues fairly.
Safety, Compliance & Risk
Manage driver fatigue, licensing, and fleet assignment compliance.
Verify pre-starts, defects, and equipment readiness.
Respond to breakdowns, accidents, and weather issues.
Lead incident reporting and investigations.
Check weights, dimensions, load restraints, fleet – load suitability and site requirements.
Customer & Stakeholder Management
Act as escalation point for customer transport operational issues.
Communicate delays, and recovery plans.
Collaborate with transport coordinators, drivers, transport administrators and port wharf teams, customs and freight forwarding, HSE and compliance, workshop teams and port terminals / wharfs.
Performance, Reporting & Continuous Improvement
Drive KPIs including OTD, utilisation, and data quality.
Identify root causes and drive improvement actions.
Ensure accurate data entry by transport coordinators.
Key Performance Indicators (KPIs)
Gate-out time, On-Time Delivery and schedule adherence.
Fleet utilization (trips per day) and empty kilometer reduction.
Overtime control and additional charges (detention).
Customer complaint rate.
Safety compliance and driver adherence to safety protocols.
Data accuracy and timely submission daily (Runsheets, PODs / EIR’s, delivery dockets and accompanying incvoices)
Incident rate and close-out timeliness.
Team performance and coaching outcomes.
Skills & Competencies
Technical Skills
Knowledge of scheduling, routing and dispatching.
Proficiency with telematics systems.
Understanding of fatigue, mass, and load restraint rules.
Ability to interpret and act on KPIs.
Behavioural Skills
Good leadership, collaborative and good clear communication.

Qualifications & Experience
3 - 5 years in transport operations.
1 - 2 years supervisory experience.
Knowledge of local road transport network and customer sites.
Certificate/Diploma in Transport, Logistics or Business advantageous.
Working Conditions
Fast-paced operational environment.
Early/late hours, weekend and public holiday work as required.
Office and yard interaction, driver briefings and occasional site visits.
